GENERAL GUIDELINES


Summit Conduct

The summits will be implemented in a hybrid format. Moderators, CTU key officials, working committees, and select invited presenters, participants and government officials will physically gather in the conference venue. Presenters and other participants will participate virtually via zoom or other means determined by the organizing committee. Pre-recorded videos (not more than 10 minutes; provided with preferred virtual background) will be requested from the presenters but they should be virtually present during the Open Forum for a 5-minute Question and Answer immediately proceeding after the presentation to be considered present.

Abstract Submission Guidelines

Please follow the guidelines below when preparing your abstract:

  1. All abstracts must be submitted electronically through each summit’s submission link.
  2. Abstracts should be submitted in English with 150 words but not to exceed 250 words.
  3. The body of the abstract should be structured as follows:
    • Title
    • Author(s) and Affiliations
    • Background / Rationale
    • Objectives / Aims
    • Methods
    • Results
    • Conclusions / Implications
  4. Abstracts will be reviewed by the Scientific Committee and Notification of Acceptance will be communicated to the submitting author via email.
  5. Please note that all accepted abstracts will be included in the conference program and Book of Abstracts.

Note: There is no need to submit the full paper

  1. All presenting authors must register for the conference.
  2. The presenting author is defined as the person who presents the oral presentation at the conference.
  3. Please note that it is the responsibility of the presenting author to ensure that all co-authors / collaborators are aware of the content of the abstract and have given their permission for submission.
  4. If the paper is accepted, the presenter will be asked to create and deliver a 20-minute movie presentation to be presented on the scheduled day and time of the conference session. The presenter should attend the Q&A during the open forum session to answer questions and to be considered present.
  5. The conference registration fee must be paid in order to have the abstract included in the program and Book of Abstracts.

Best Paper Category

Full-paper Submissions will be for screened for the “Best Paper Award”, authors for full paper submissions will also present/record their videos.

The following sections must appear in the paper:

  • Title Page Abstract Introduction (Background of the Study and Problem/Objectives Statement)
  • Methods
  • Results and Discussion
  • Conclusion(s)
  • Recommendations
  • References
  1. Text must be readable and single-spaced throughout the document.
  2. The title should have no more than 14 words.
  3. The Abstract should not exceed 300 words in length.
  4. The suggested font size and style are 12 and Times New Roman.
  5. The Introduction must contain “what should be” or the ideal state, followed by “what is the reality” or the present condition, which indicates concerns to be addressed and captures the purpose of the study.
  6. The paper must be written in portrait format on short bond paper.
  7. The required margins are 1 inch on each side, top, and bottom.
  8. Use the APA format style for references.
  9. Please note that all accepted full papers will be included in the conference program and Book of Abstracts.
  10. All presenting authors must register for the conference.

Oral Paper Presentation Guidelines

ALL PAPERS MUST BE SUBMITTED for screening and approval for presentation during the conference. Author of accepted papers will be informed through the email used during the paper submission.

Once your paper have been accepted for ORAL presentation, the presenter must prepare a 15-minute video presentation to be submitted through a google form. Guidelines are as follows:

1. Video duration should not be more than 15 minutes in length, with a maximum of 150 MB size.

2. Video submission should be in mp4 format, with 480-720p resolution

3. The presentation should have both voice and camera featuring the face of the presenter.

4. The presenter must use the standardized virtual background and template for the presentations.

5. The presenter/group must be virtually present at the breakroom session during the scheduled time and date.

6. There will be a 5-minute Q and A session at the end of each presentation.

7. Please note that all presentations shall be recorded for documentation purposes only.

The filename should be written in this format: SustainHEIGov_Conference_Presentor’sName
